What is payout reconciliation? A plain guide for Indian online businesses

By the Veritally team · · 3 min read

If someone else collects money on your behalf, a marketplace, a gateway, a courier or a delivery app, payout reconciliation is how you make sure they passed on all of it.

The simple definition

Payout reconciliation is checking three things for a period:

  1. Every order you fulfilled was included in a payout.
  2. Every amount deducted from those payouts was correct.
  3. Every payout actually reached your bank.

That is it. Everything else is detail.

Who needs it

Anyone who does not collect money from customers directly:

  • Marketplace sellers on Meesho, Flipkart, Amazon India, Myntra and others, where the marketplace collects and pays you after fees
  • D2C brands on Shopify or WooCommerce, where a payment gateway settles prepaid orders and a courier remits COD
  • Restaurants and cloud kitchens on Zomato and Swiggy, paid weekly after commission and deductions
  • Accountants and CAs who keep books for any of the above

Why it matters

The company paying you is not trying to cheat you. But payouts are built from thousands of automated lines, from many systems, and errors happen: an order missed, a fee at the wrong rate, a return charged to the wrong order, a batch delayed. If you never reconcile, every one of those errors is permanent.

The three files

Almost every payout reconciliation uses the same three kinds of file:

FileTells you
Orders reportWhat you fulfilled
Payout, settlement or remittance reportWhat you were paid and what was deducted
Bank statementWhat actually arrived

Matching orders to payouts finds missing payments and wrong deductions. Matching payouts to the bank finds money that was sent but never arrived.

Differences are questions, not money owed

The most important rule: a difference is not automatically money owed to you. It might be timing (paid next cycle), an adjustment from an earlier period, a correct charge you did not expect, or an incomplete report. A difference becomes a claim only after you have ruled those out and the evidence supports it.

By hand or with software

By hand, reconciliation means spreadsheets, lookups and hours per month. It works for a few dozen orders. Beyond that, it is slow and most people stop doing it. Software matches the files automatically and shows only the exceptions. Read Excel vs software for payout reconciliation for the trade-off.

Where to go next

Veritally is a payout reconciliation product built for India. It reads each platform's own reports, explains every payout to the paisa, and prepares claims only for differences the evidence supports. Free to check, pay only if we find your money.

Frequently asked questions

What is the difference between payout and settlement reconciliation?

They are mostly the same idea. Settlement usually refers to a payment gateway or marketplace batch; payout is the general term for money paid to you after deductions.

How often should I reconcile payouts?

Monthly at minimum, and weekly for fast cycles such as restaurant payouts or high-volume COD. Always within the platform's dispute windows.

Is every reconciliation difference a loss?

No. Many are timing, adjustments or correct charges. Only differences that survive those checks and are supported by evidence are worth claiming.
