Refunds, edits and partial payments: why your Shopify payouts never match your orders
By the Veritally team · · 3 min read
Most of the difference between your Shopify sales and your bank is perfectly explainable. The trick is clearing away the explainable part so the real gaps stand out.
Expected differences
Before you can find a real problem, you have to remove everything that is supposed to be different. These are normal:
- Gateway fees and GST taken out of each settlement
- Refunds paid out of later settlements
- Timing: payments near the end of a day or month settle later
- COD orders, which are paid by the courier, not the gateway
- Orders cancelled before capture, where no money moved
Changes that cause confusion
Partial refunds
A customer returns one item from a three-item order. Shopify shows the order as partially refunded, and the gateway shows a refund for one item's value. If the refund was entered for the full order by mistake, the gateway takes back too much.
Order edits after payment
Editing an order after payment can create an extra charge or a refund. Each one should appear in the gateway as its own transaction.
Exchanges
An exchange can involve a refund and a new charge, or neither, depending on how it was processed. Check both appear when they should.
Duplicate payments
A customer pays twice after a failed checkout. One payment should be refunded. If it was not, you hold money that is not yours; if it was refunded twice, you lost money.
Cancellations after capture
An order cancelled after payment was captured needs a refund. Check the refund happened, once, for the right amount.
Then look for the real gaps
With the expected differences cleared, what is left is usually a short list:
- A paid order with no settlement
- A refund larger than the item returned
- A refund with no matching return or cancellation
- A COD order delivered but never remitted
- A settlement not in the bank
The guides go deeper: Razorpay settlement reconciliation for Shopify and Shopify COD remittance reconciliation.
Let the matching do the sorting
Doing this by hand means clearing hundreds of expected differences to find a handful of real ones. Veritally for Shopify reads your orders, refunds and edits live, matches them to your gateway and courier reports and your bank, and shows only the differences that still need an answer.
Frequently asked questions
Why does my Shopify sales total not match my bank?
Gateway fees, refunds, settlement timing and COD remittance cycles all create expected differences. Clear those first; what remains is worth investigating.
How do partial refunds show up in the gateway?
As a separate refund transaction for the refunded amount, usually deducted from a later settlement. Check its amount matches the items actually returned.
What should I do about duplicate customer payments?
Refund the duplicate once, and check in the gateway report that exactly one refund was processed for the right amount.
