Month-end bookkeeping for marketplace sellers: a routine your CA will thank you for
By the Veritally team · · 3 min read
Most sellers hand their CA a bank statement and a pile of reports at year end and hope. A one-hour routine each month makes your books, your GST and your claims far easier.
Why monthly beats yearly
At year end, reports from twelve months, three marketplaces and one bank have to be stitched together. Small mistakes are impossible to trace. Monthly, the same work is a short routine, and the claim windows for anything wrong are still open.
The one-hour routine
Step 1: collect the files
For each marketplace: the payments or settlement report and the tax report or invoice summary. Plus your bank statement for the month. Save them in one folder named with the month, for example 2026-10.
Step 2: match payouts to the bank
Every payout in the marketplace report should appear in your bank with the same reference. List any that do not. This takes ten minutes and catches the rare large problem.
Step 3: split each payout into its parts
Your accountant needs more than the net amount that reached your bank. For each marketplace, total these for the month:
- Gross sales value of delivered orders
- Commission and fees
- Shipping and logistics charges
- Returns and RTO charges
- Penalties and other recoveries
- TCS collected under GST
- TDS deducted under income tax
- Net amount paid
The marketplace's own invoices for fees usually carry GST that you may be able to claim as input credit. Ask your CA.
Step 4: record TCS and TDS
TCS and TDS are credits you can claim, not costs. Note them monthly and ask your CA to check they match what appears in your GST portal and your tax credit statement. See TCS and TDS on marketplace payouts.
Step 5: list open claims
Any difference you are disputing goes into one list with the amount, date raised and status. Credits from earlier claims that arrived this month should be marked as received.
Step 6: send a one-page summary to your CA
A short table per marketplace with the totals above, plus the bank match, is worth more to your accountant than a folder of raw reports.
Keep the raw files
Store the original downloads unchanged. If a number is ever questioned, the original report is your evidence.
Where Veritally fits
Veritally does steps 2, 3 and 5 for you from the same reports: it matches each payout to the bank, explains every payout line by line, and lists the differences worth claiming. You can export a summary for your accountant. Checking is free, and you pay only if we find your money. If your CA works with several online sellers, point them to our partner programme.
